When your English school requests your passport

Philippines School editorial team · Last reviewed:

Ask which immigration application needs the original passport before handing it over. The Bureau of Immigration’s SSP checklist describes scanning and return, while the temporary-visitor extension checklist requires the original document. These are different procedures, not a blanket rule allowing schools to keep passports. Agree a documented handover, a named contact and a return plan before processing begins.

Identify the procedure, not just the word ‘visa’

Ask the school to name the application: Special Study Permit (SSP), extension of authorized stay, or another procedure. Request the current official checklist and distinguish a school collection deadline from an immigration deadline. An SSP supports permitted study; it does not itself extend the date until which you may remain in the Philippines.

The official SSP checklist says the original valid passport is presented to the receiving officer for scanning and then returned. The extension checklist effective 4 June 2026 lists the original passport or travel document. Neither statement establishes a universal school storage period. Ask why the school needs to hold the original rather than simply inspect it, and whether an authorized representative will take it to BI.

Make a handover record you can actually use

Before collection, keep protected copies of the passport identity page, latest admission and any extension evidence. A copy is a backup, not a replacement travel document. Do not send passport images to a public group or upload them to an unverified quotation form.

  • Record the student’s name, document type and a masked identifier on your personal receipt.
  • List the application, date and person receiving the passport.
  • Ask who transports it, where it is stored and who can release it.
  • Agree an expected return date and a way to report a delay.
  • Keep school service charges separate from official immigration receipts.

This is a recommended accountability checklist, not a claim that BI requires your school to issue a particular receipt format.

Plan around travel and delays

Tell the school about domestic flights, hotel changes and international departure before submitting anything. Ask the carrier or accommodation provider what identification they accept; never assume a scan will suffice. If original-document processing conflicts with a trip, seek a lawful revised schedule before booking non-refundable travel. Do not delay a required extension simply to keep the passport for a weekend outing.

If the promised return date passes, contact the named administrator in writing. Ask whether the document is still at school, with its representative or at BI; request an application reference and the next update time. For unexplained withholding or suspected loss, seek guidance from BI and your embassy or consulate. Do not declare a document lost solely because processing is slower than expected.

Close the file when the passport comes back

At return, check the identity page, new stamps or attached documents and the actual authorized-stay date. Match the official receipt to the application rather than treating a school invoice as proof of approval. Store copies securely and ask how unnecessary school-held copies are removed under its data policy.

For example, a learner needing both SSP processing and a stay extension should ask for separate application names and evidence. One passport collection may support several tasks, but the receipt for one task does not prove the other is complete. If the extension involves later collection from BI, follow the collection instructions and deadline on that application’s claim slip. No fixed processing duration or universal retention charge is promised here.

Frequently asked questions

Must every school keep my passport for the whole course?

The cited BI checklists do not establish that rule. Ask for the specific procedure, reason for retention and agreed return date.

Does an SSP receipt prove my stay was extended?

No. SSP and authorized-stay extension are separate matters; check the extension decision and the actual stay date.

Can I travel with a passport photo while the original is away?

Do not assume so. Check identification requirements directly with the carrier and accommodation provider before travelling.
